Its very necessary that we keep the documents updated on a timely basis as HR, there are few components or scenarios at which the User Guides or rule book needs to be updated, below are few.
- When Government or Governing body changes rules and regulations
- Yearly changes with Pay changes and statutory compliances
- Some changes with respect to company operations discussed on board meetings or general meetings of company
- Circulars by Leadership team
- Updating of rules to comply with company policies
- Legal changes and updates
At all instances as we assume if we already had the document, we would update the same with Version numbers and record the Version ID, Revision Date, Author who did the edit, Reason for Revision, reviewed by and approved by at the end of the same file and save and circulate.
Every modification needs to be reviewed by responsible person and needs to be approved.
Whenever we make changes, we do need to save a backup soft copy of older versions so that we document and do not miss on anything if we would need to retrieve data.
