Commute & Transport Guidelines
Objective:
To help team members better balance professional and personal life, COMPANY NAME offers a hassle-free commute to the office with the eligibility, rules, and procedures listed below.
Scope:
Available to all permanent employees and Temp-to-Hire contractors. Complete remote contractors will be applicable for special circumstances.
Items:
Based on the office schedule, all available team members who have opted for a cab
will be provided with pooled transport service.
Transport Service Overview:
- Vehicle Types: Sedans/SUVs (air-conditioned)
- Pick-up and Drop Location: Common nodal points from your home within a maximum of300 meters. Due to project criticality or requirement, if team
members have to follow late night or early morning shift, pick-up and drop location will be accommodated to their residence. - Commute Route: Based on travel time optimization and deviation minimization, the most optimum route has been chalked out. If you have further suggestions, please raise them to Transport Team instead of the driver.
- Vehicle Waiting Time: Maximum of 3 minutes.
- Notification:
- Pick-up Time and Cab Details: Transport team will send messages to your contact phone 2 hours in advance.
- Address Changes: Team members need to inform Transport Team one week in advance.
- New Request Raise and Cancellation: All the transport service requests need to be informed to Transport Team at least 24 hours before the login time and cancellations should be informed 4 hours before the logout time.
Team Member Guidelines:
- DO arrive at the designated nodal point ahead of theschedule.
- DO display your Company I-Card when boarding the cab.
- DO tie the seat belt every time.
- DO collect your belongings before you get off.
- DO reportany incident ordriver’s misbehaviortoTransportTeam immediately,
including but not limited to:- Not following proper or scheduled route.
- Allow additional passenger who is not mapped in the route to get on the
vehicle.
- DO NOT get offfrom the vehicle at any other place otherthan your nodal point
or your residence. - DO NOT ask the driver to make unscheduled stops.
- DO NOT encourage the driver to drive fast or rashly.
- DO NOT smoke or consume intoxicating substances.
Emergency Situations:
- Only in case of an emergency, we will support the request for cancellation on the same day through message/call.
- In case due to heavy traffic/rain, sometimes vehicles may not arrive on time. Please understand and we will keep affected team members posted
on the delay or other scenarios. - In case of any medical emergency, please reach out to (RESPONSIBLE PERSON NAME) for arranging a vehicle as soon as possible with Manager’s approval.
Notices:
- All female team members are recommended to take the transport service. In case any exceptions or voluntarily giving up, please sign the self- declaration form and share with HR.
- Transport team will ensure escort presence in all the vehicles having first pick.
- up and last drop for female team members during 7:00 pm to 6:00 am.
- Female team members who opt for not taking the transport service for drop need to leave the office premises before 6:00 pm. Early leaving needs to be
informed to reporting manager and (RESPONSIBLE PERSON NAME). - Male team members who opt for not taking the transport service for drop in the evening need to report to Transport Team 4 hours ahead.
